Hey all,...

I'm sure as everyone knows, If you are on Ryan White , you need to reauthorize every 6 months.

I am due to renew May 4th, but I usually do this about a week and a half in advance.
I walk in for this renewal  on Mondays and/or Thursdays.

I have to drive down to St. Petersburg, and speak with a case worker face to face, show some documents , sign a couple papers and be on my way.

The entire process, takes about 20 minutes to do. The drive down there takes 35 minutes.

I decided to call down there yesterday, and ask if re-authorization changes are taking place because of COVID-19. It could be disastrous to have 15 or 20 people in the waiting room, waiting for a face to face 6 month renewal.  She agreed.

The woman I spoke told me they are operating on a short staff, and that other changes are in the works.

Long story short, She asked me if I can email her all the documents needed to reauthorize.  I said no problem. 

She informed to call her in about 3 weeks, she gave me her personal number, at that point she will give me her email address so I can attach 9 different documents to her, so I can be renewed.  I've done this many times ( Twice a year) so I know exactly what to send her.

So I have all my documents scanned and saved, Just waiting for 3 weeks, to get her email address and send them on my way.

This is the cover email I will send her:

In regards to our conversation on 3/31/2020, I am sending you this information for Re authorization purposes of ADAP/Ryan White. Just an FYI,  I receive all my Healthcare and Medications though the VA Health Care System. ( Primary and Infectious Disease) The only services I receive through ASAP/ADAP is Dental care, through ALPHA DENTAL in St. Petersburg.

Please find attached in this Email, 9 ( Nine ) Different scans of Documents required for re authorization of Ryan White/ ADAP.  If anything else is required please let me know, such as Social security card, or Voting Card.

Would I be receiving from you through Email, a new NOTICE OF ELIGIBILITY Paper, with a new Re-determination date for the next re authorization date, for me to sign, date and send back to you ?

Attached are  the Following:

Scan # 1 -- Is a copy of my last appt. for my Primary care DR. ********, through the VA healthcare system.  This appt. took place on December 23rd, 2019.

Scan #2-- Is a copy of my last HIV lab appt, card, that took place on Friday March 13th, 2020.

Scan# 3-- Is my appointment with infectious disease at Bay Pines to discuss latest labs taken on March 13th, 2020.

Scan# 4-- Is the result of HIV labs taken of March 13th, 2020. CD-4 and Viral load results.

Scan# 5-- Is a letter from the VA ( Affordable care Act) and proof of residence

Scan #--6 Is proof of Continuous Healthcare Coverage throughout year 2019.

Scan# 7-- Is from Social security for Earnings, of  $ ******** Dollars Per month for 2020. This became effective with increase in Social Security,  starting January of 2020.

Scan # 8-- was total social security paid to me in 2019 of  $ ********.

Scan# 9 -- Is more proof of address, and medications mailed to me on or about February 10th, 2020.

Anyway--- If you are on Ryan white and you need to reauthorize soon you may want to call and see what changes may be in the future because of COVID-19 so you can prepare beforehand.

Amlodipine Besolate 5mg-- Updated 7/15/20

Diagnosed positive in 1985,.. In October of 2003, My t-cell count was 16, Viral load was over 500,000, Percentage at that time was 5%. I started on  HAART on October 24th, 2003.

 As of July 8th,20,  Viral load remains Undetectable

Just giving a follow up. I reauthorized my Ryan White/ADAP, this past Thursday, and all went well and fast. And the best thing, I did it all from the comfort of my own home, didn't have to sit in a waiting room and then see someone face to face.

However, as I understood it, as of 3 days ago, they were still seeing people face to face, to renew. I also understand that many people don't have computers or the means, to do this renewal the way I did it.

 I am good for another 6 months now.! Just about the time for the second wave of covid-19.

On the local front, 23 nursing homes, and/or assisted living centers, are infected with Covid -19 .  Staff and residents.   :'(   That is just here in Pinellas County, FL.

You say it all went fast. U mean as in same day or it takes few days maybe week? Fax, email, or snail mail all paperworks to ADAP?

Hi,..
For me, it always goes very quickly ! Once all the documents are presented to the caseworker, He or She will make some copies while you wait, you will sign a couple papers, and they will give you your eligibility letter for your file. Once you are in the system it goes even quicker.

The eligibility letter will have the date listed, as to the next time you have to go in and renew.

The last time I renewed, I did it from home, because of Covid-19. I just scanned and emailed the documents to the case worker, she then took those documents, copied them and placed them in file.

She them emailed me back about 3 documents to sign. I printed those documents out, and signed them, and re-scanned, and sent them back to her in a secure email link that she provided to me.

When I was physically going in to renew the process took about 20 minutes. Because of Covid-19, it took a little longer, ( a couple hours) because of scanning of documents ( on my part ) and using email to send them to her, and then getting documents back and printing them out , and signing, and then sending them back to her.

I am not sure what I will do next renewal date which is no later than 10/27/20. I last renewed on 4/23/20


Here in Florida you can walk in without appointment, on Mondays and Thursdays about 4 days or so in advance of the eligibility date, and they will renew on the spot. I have done it many times since since 2010, without any issue. I just make sure that a week or two in advance, I have all the paper work ready for her. Never takes more than 20 minutes or so. They are very appreciative, when you come prepared !

The only time I renewed from home , was the last time on 4/23/2020.

They ( Ryan White ADAP) will also send a copy of the Eligibility letter, to the Dental facility, that does cleaning of teeth if you require or need that service. I believe Ryan White authorizes about $1,200.00 per calendar year for each client for Dental services. It might be a little bit less. They did great for me, and made me a lower partial !

Here in Florida in my area, they use Alpha Dental, in Saint Petersburg, for that service. You can check into that service and see what they can provide for you. I's also about 2 blocks away from the ADAP building


I am not sure down here what takes place as far as the HIV medication, or other medication that your doctor may prescribe.

I think they have a pharmacy within in ADAP building, where you can pick up your meds.  I am not sure if they mail medication to you, but that could also be a possibility. It's probably run very similar in New York.

They also have a food Pantry on site, to help those that need assistance.

You mentioned about the possibility to use GMHC, in New York I would suggest, that you look into that, to help you out, and get you pointed in the right direction. Is there a trusted person that you can take with you, to help you navigate the system. Believe me two heads are better than one at times. Don't hesitate to ask questions !! I always take my partner with me. What I may miss in conversation with a case worker, or Doctor, he won't.  :) He also goes to my specialist appointments with me, while we sit with the Infectious disease, The Cardiologist, or the Nephrologist.

Because of these trying times of Covid-19, many places are operating differently, so you need to find out, if they are seeing people directly, or if you have an option like I did, to renew on line.

When it comes time for me to renew on 10/24/20, I will have to evaluate the Covid situation at that time, and see what my options are, to either walk in, or renew once again from home.

Currently, all my Doctor appointments are done through telephone call, or video call. I do have labs scheduled for this Wednesday.

My advice to you, is to stay PROACTIVE !! Ask plenty of questions, Take notes, and always make sure to follow through. See what is available to you, if you need help with co-pays ETC.

Thank you for the explanation. I'm still learning about how ADAP works here in NYC it's little different here, they will need verbal verify in 6 month and renew in 12 month, no need to walk in it can be done via fax or snail mail. I faxed my application and all documents and they called me like 30 mins and was given temporary approval until they get my doctor to sign the other form and it will be fully approve. I just got fax on the form back from my doctor and i faxed it over to them as well but I'm sure the office is closed so I'll call Monday to confirm.

I also had telehealth appt with my doctor today to go over syphilis situation as I finished my treatment 3 days ago and will need to do blood work to be sure everything is ok with that situation and talked about need to do bloodwork to see how I'm doing on biktarvy as today was my 30th day taking it. Finally found out my CD4 and VL #  the CD4 is 856 I believe, i wrote it down on paper in my office downstairs and the VL is 10k. I said wow the VL is pretty high she said it does sound like high but reality it's not that high and that she is confident that I'll be undetectable on my next bloodwork. Let's see, I doubt it!

I also have new primary doctor coming up end of this month so I can get all vaccine needed and strip down to have the doctor analysis me from head to toe.

I see that ADAP does pay for dental work they sent me lists on places who accept ADAP so I'll have to research on who I want, if none then I guess I'll have to pick my own and pay out of my pocket. I had good dentist in Fort Lauderdale, loved them tho but here in NYC is different ugh.

About GHMC they werent friendly on phone, hung up on me few time cuz I called through sign language relay service and when one person finally answer and talk to me he frequently sighed and use this word  "Look..." few times.So I dont think I'll need their service to help me as i've done most of research on my own so far and I dont need their attitude to bring my peer down.

I do need to look for immunologist doctor so he/she can help me on what I need to take etc, I need to find new dentist, and of course I need to quit smoking!

It looks as though everything is falling into place for you !  :)   If your Ryan white office does not send an eligibility letter to the dentist of your choice, you can copy the one one you have, and give the copy to the dentist you choose from their list. That should work. I've done that before.

At least you have a choice. No choice here. Just one dentist in Pinellas county for this. At least as far as I understand it. I have an appointment coming up July 28th. But due to the covid situation, I may have to cancel this. This was just for a cleaning.
