AMG 2010 to do list
« on: October 09, 2009, 03:21:00 pm »
The location of AMG 2010 (London), changes the dynamics of planning this annual event.
Before planning can begin, 2 very important planning elements need to be put into place.

1.    An AMG Coordinator needs to be named.
Ideally, although not required, this person should be located on the same continent. Good organizational skills and plenty of time and patience is also essential.

2.   A grants committee needs to be put into place. This can be modeled after the Grants Committee that has been in place in the past. However, since most purchases are going to be made in euros or pounds, ideally, the GC will once again be located on the same continent that AMG will be held.

Although there is not set manual on how AMG is coordinated or what occurs during the weekend, below are a few things the Coordinator has been responsible for in the past.

1.   Hotel negotiations
2.   Meet & Greet
3.   Other planned events
4.   T-shirts (design, locating a vendor to print, collecting money, dispersing shirts)
5.   Welcome bags
6.   CDs
7.   Programs

The list above only highlights the main points the coordinator should focus on, and is not inclusive.
I will be more than happy to assist the new coordinator in getting things off the ground. I highly suggest fulfilling this role asap to ensure a successful event.

Dennis

AMG 2010 will be held in London

The next step now is to choose a coordinator. As I mentioned back in September, if AMG is in Europe, than someone from Europe would be best suited for the role as AMG Coordinator. I will be more than happy to offer any guidance to the new team.

So, what about HUGO (angelofdreams)?

hey all,

i know this has been brought up multiple times but still,
as some one living in the UK and not being able to travel to the USA or for this mather Mexico i would like to explore the options of a meeting in London.
I am aware of the large number of members on the site in the same position as myself and how much we would love to come to the AGM we just dont have the chance for what ever personal or even sometimes financial reason.

As a event manager from trade i would love to set up a meeting for people living in Europe aswell as in other parts of the world, giving everyone the option of being there.
So i would love to hear from you all regarding idea's, comments, etc.

you can email them directly to me or trowe them in the forum

xx
hugo

Also, what about the dates?  Traditionally, off-season (Oct-Mar) offers the lowest fares from the US to Europe.  Should we have another vote?

Just a reminder to not lose site of what needs to be done to ensure a successfull AMG in London.

Someone needs to take the bull by the horns and agree to coordinate this event.

Not sure the grants committee really needs to change that much.   After all most charges from a hotel can be to a credit card which will automatically convert currencies.  And reimbursements to participants will presumably be largely in the home currencies  of recipients whereever they are?  Collecting in a variety of currencies may prove  harder than spending.

A lot of the processes they have set up in the first post of this thread http://forums.poz.com/index.php?topic=24125.0 look like they are useful and time tested.

But it would be a good idea for the grants committee to meet and decide who wants to continue on it and  whether they need to set up additional accounts to collect funds in other currencies etc.

One reason I suggested the GC be located in Europe is because AMG is being held in London. I would expect most contributions to come from our European counterparts. And most of the contributions would be used to fund those residing in Europe.

I haven't seen the GC online in a while. I'll pm them and ask them to chime in.

dennis...

I'm sending a Pm to Hugo today.  It's been awhile (Sept 12) since he's posted but I'm hoping he'll log on and check his mail.
