Title: Las Vegas Meet and Greet

I'm beginning communications with the catering manager from the Stratosphere. Is everyone interested in doing a meet & greet on Friday evening? If so, please let me know what you would like. I'm presuming a cash bar is a must.

Their catering typically starts at around $40 per person with a 20 person minimum. I've already told them we are a group on a budget. They're willing to work with us.

What is the most you would like to spend? Do want a sit down style event, buffet, or finger foods? Keep in mind we're a fairly small group this year, so we don't have as much buying power as we've had at past events. However, I'll do my best to ensure a memorable event at a reasonable price based on your feedback.

Friday Eve sounds great.

I kinda like the idea of a buffet (like we had in Boston). I think Sit down would be too "stuffy", but that's just my opinion.

As far as cost, 40ish is fine with me.

I ditto the Friday evening suggestion.  I imagine we will be in the $40 range which is acceptable to me.  I also think the buffet style, appetizer type food will work best for our group.  I sure hope we can get 20 people.  Vegas is relatively inexpensive still and this is such an opportunity for those who haven't attended one of our events.

The PINK bloomers have been returned to their country of origin. 

You have no idea what it was like getting through customs in Hong Kong, Australia, and New Zealand with that parachute in my bag.  But that's a story for another day.

My original plan was to put them on Kooni and surprise Jan, but she wanted no part of it (the pig not Jan  :P).

So I opted for Plan B.  I cleverly hid them somewhere on/in "Jan Land".

To date she either hasn't found them or she has and is evily planning some sort of counter attack.

Either way, since I don't have those disgusting things, obviously I won't be wearing them at the Meet and Greet.  And even if I did, I still wouldn't do it.

BTW--you're a bitch!   ;)

I think he's bluffing.

The bed has been stiped and washed seveal times since he left, the cupboards and drawers have been cleaned out..as have the ones in the rest of the house, and I haven't come across anything  that is "Big and pink"..I'll keep looking... ;)

Until then the buffet sounds good.

Here is what the Stratosphere has offered us thus far. It appears they are trying to make up in catering what they are losing in room revenue.

$41.31 per person (includes tax and gratuity)

Private dining room in the tower for two hours - room rental fee is waived (I'm trying to extend to at least 3)

Chicken entree with potato and vegetable, fresh baked roll w/butter, red velvet cake, coffe or tea.

Cash bar with a $175 bartender fee (waived if bar tab reaches $500).

You all can't drink $500 worth of liquor in 2-3 hours? ;D

I thought about everyone splitting the cost. But then again, not everyone drinks. If this fee goes directly to the bartender, I don't have that much of a problem with the fee. I'm still waiting to hear back in regards to that.

What would be a reasonable bar tab among us for 3 hours? Perhaps I can get the minimum reduced.

Now about the bar minimum.

Let's do some math.

We're obviously going to be a smaller group this year so that might complicate things.  (Though I'm pretty confident we'll hit swomewhere between 15 & 20.)

So we have to spend a minimum of $500.00 to avoid the bartender charge.  Right?

Let's begin by figuring up the cost of getting Jan and Will  "motivated" enough to make their jump.

(Add the seven, subtract the nine, divide by the square root of pi)

KACHING!

We're half way there.   :-X

Now I'm not much of a drinker, but having been to a couple of these little shin digs I'll probably have a nip or three   ::).

So there's easily another $100.00.

Then let's not forget the Davids, Bonnie, Hellraiser, and assorted others, not to mention those who haven't announced yet.

I think we'll be pretty much home free.   :P

But getting back to the topic at hand, I'm in.

The Code is "C-AMG". I think the rate I booked for under that code was $30/night weekdays and $41/night weekends.

If you all do not mind, I'd like to look at having our function off site. I have just spoken to the catering manager, and I'm just not comfortable with what they are offering.

If we want to increase our event to 3 hours, there would be a room rental charge of $200.

The $175 bartender fee, if we don't consume $500 worth of liquor in 2 hours, goes directly to the hotel as a labour charge. It would not go to the bartender.

Lastly, there is a $300 deposit they will not waive.

Since they are unwilling to stray from policies to earn our business, I just assume we take our business elsewhere.

I believe Gary may have arranged something for the memorial service when he visited the hotel.  I'll touch base with him.

No worries about the meet and greet.  I have a few backup plans.  And it's still possible the Stratosphere will change their mind once I tell them we're taking our business elsewhere.

Acutally, I did not yet have an arrangement for the memorial service and was hoping to use our "room in the sky" at the beginning of our event if that worked out.  I agree now that the hotel is making too many demands for a group of our size and there a bazillion locations to have a social event in Vegas... maybe that will help the hotel to understand that it is best not to jerk our chain. 

So...at the moment no location for memorial, but open to suggestion.  I like the idea of combining it with our meet and greet event especially if we are going off site to make it easier on the attendees.  We know Jan will suspicious if we tell her that where we go is a "wee walk" from the site.  It will all work out...and we will have a blast I am sure.

O.K. I guess my first comment is related to your last.  I know these big properties have a pretty straight forward way of doing business and they just aren't likely to stray away from it.

So if all the condiditions and hoop jumps are simply not possible then I think you've got the right idea when you say "we take our business elsewhere".

The $300.00 deposit doesn't seem unreasonable to me.  We can't ask them to take a room off inventory without some sort of guarantee.  (I'm assuming the deposit goes toward the final bill.)

I'm also not that worried about the bartender fee of $175.00 if we don't consume $500.00.  ::)  Of course that would become clearer if we could nail some of these specifics down and get a more accurate idea of exactly how many will be attending.

The $200.00 for an additional hour?  Now that does bother me.

Can (forgive me buddy--I'm stupid) you give us a final summary of exactly what we'd be getting (food), where we'd be, and if we went with the 3 hours (although if we have to go 2 we could do that I guess), assuming we meet the bar minimum, what the cost per person would be if we are 15 and if we are 20?

I am also waiting waiting to see if we can remove the appetizers from the above menue at Simon's to reduce the cost. Another option at Simon Rest. would be an hors d' oeuvres option for aproximately $45.

The above menus are served family style. Little Buddha also has a buffet option with butler pass hors d' oeuvres for $60 pp should we want to go that route.

Wow Dennis, both venues look amazing. I rather like the menu at Simon's, but Little Budha is $20 cheaper..meh, It really doesnt matter to me.

Hi Dennis

Both options sound good to me. 

So lets try and summarize the 3 main options.

Simon:

when you add in the tax and gratuity, Simon is pushing close to $85.00 ($65.00 + $4.88 tax + $13.65 gratuity = $83.53)  (If I've done my math correctly.)  Then the cost of beverages. 

Little Budha:

At  Little Budha the cost is about $58.00 ($45.00 + $3.38 tax + $9.45 gratuity) (again if I've done my math correctly.)  Then the cost of beverages.

Strat: (If it's still being considered)

The offer from the Strat was $41.31 including tax and gratuity right?  Of course that only gave us two hours, and we had the issue of the potential bartender charge.

Decisions decisions.

At Little Budha and Simon would we have a private space like at the Strat or would we be in the main dining room?  (because to me that's the real deciding factor) If so is there a time limit like at the Strat?  Would there be a bartender charge at either Palms venues?

O.K. no more questions.  I'm starving after looking at all the wonderful food, so I have to go microwave something.   :-*

We would have our own room (Sun Room) at Simon which has a beautivul open air terrace leading out to a pool. We would have cocktail servers for drinks.

Little Buddha...we would have the back section of the restaraunt which also has a terrace leading out to a pool. It will not be as private as Simon.

I'm waiting to hear back from the Palms if there is anyway to change the menu to reduce the cost. Ideally, I think Simon would be our best bet.

If we are having problems finding a venue for our Memorial service and for Ric's memorial, maybe we should consider having it at our agreed Meet and Greet venue....just a suggestion, what do you guys think?.

I don't think we should be forking out more money if we don't need to.

BTW..Simons sounds good to me.

I would like to do both events together if the venue is appropriate.  The idea I discussed briefly with RAB would be a "celebration of life" that would be more joyous in nature (while at the same time acknowledging our most recent losses) and then could be done with the evening event.  Given the more public area where we are planning the Friday evening event, it may not be suitable for what we would like to memorialize our friends and loved ones.  At the same time, RAB and I are both concerned that a memorial at a separate time might be depressing and difficult for some of us.  I certainly wish both events to be meaningful.  If we all think about it, I think a "solution" will emerge.

 I like this "celebration of life" idea. Perhaps at some appropriate point during the meet and greet Gary could start us off with some nice words and then he and others can regale us with some funny stories regarding Ric, Tim, etc.. I foresee lots of toasts and laughter, which would be nice.

Second, I don't think the fascilities I presented are condusive to a memorial. And lastly, there willl be alcohol at the meet and greet. Do yuou really want alcohol with this considering it has the ability to raise emotions?

Hi Gary & Dennis:

It appears that holding the two events together isn't a good idea.  The venue isn't properly suited apparently and the conflicting goals of Memorial Service vs Meet and Greet present the probability that the Memorial would be less meaningful.

It was just an idea given the struggles that Gary is having with finding a place for the memorial.

I really don't have much to offer in terms of solutions.

I don't know, does Las Vegas have a local MCC (Metropolitan Community Church)?

Is there a local LBGT group that could provide some suggestions?

Dennis, do you have any ideas that you could offer to Gary?

Actually, does anyone have any ideas that could help.

I'm sure there's got to be someway to make this work.

Gary I still love the idea of a "Celebration of Life".

I was googling MCC and ASOs today. I didn't see anything about specific available facilities, but I can start calling tomorrow from the office, to see if someone has a room for us.  I too am thinking we need a special, separate venue for the Memorial.

The Strat has something called the Chapel in the Clouds.  We can be absolutely certain that it costs money.  I will try and find out what an hour (I am sure you can't get it for less than an hour) would cost.  The view up there is quite stunning and it does give us the experience of rising up into the clouds without that hairraising bungee jump down (although I certainly want to be ringside when Will and Jan make the jump!)

I just want to reiterate that Santi and I are up for whatever...Simon looks like a great place, especially if we can be in a private room.

I also like RAB's idea for the memorial service, and am willing to jump! (need bathrooms available at launch AND landing pads, please. Or else provide me with pads  :o )

My only concern is that we may be running out of time

At some point we have to make a decision.

The properties are going to require a minium count.

They are going to require a certain guarantee.

We are now looking at an event that is literally 3 - 4 weeks away.

The Meet & Great is certainly one of the signature events of these gatherings.

I'm not sure that throwing another option into the discussion is a good idea.

I know that at $85.00 this will be the most expensive meet and greet we've ever had.

But I think we need to balance that against the fact that we'll be spending the lowest hotel costs we've ever spent.

If I'm not mistaken the best price we've ever paid is something like $125.00 per night (Mexico City being the possible exception given the exchange rate--which I'm not certain of.)

But I think Dennis has given us an option that is certainly worth considering.

Getting back to my original point.

We are running out of time.

This has to be nailed down.

Whatever option we go for, they are going to want a guarateed count.

Getting back to my original point, I just fear we are running out of time.

So we have to find someway to move this forward and look toward the goal of a positive gathering.

I can't do Ric's memorial outside..that's why I suggested we think about doing it at the Meet and Greet.

Thinking about it I don't think it will put a downer on the Meet and Greet, apart from the "official" memorial servise (that can be done outside) this was the time Ric loved most, mingling with his friends.

I still think Simons is the best bet, and I agree with RAB we need to get the numbers so we, or rather Dennis can get this organised for us.

So get your names down folks.

I have to reiterate what Rab stated. We are running out of time. And unfortunately, the personal time I have to work on this is minimal.

First off, we need audiovisual equipment for the meet and greet. Simon and Buddha are restaurants. Therefore, these two establishments cannot meet the needs for the memorial.

Reviewing the website for Simon, the space is not particularly casual. Although, we will have our own private space with a terrace leading out to a pool. With less than 20 people, I think this should suffice the space to move about request, with room to invite 150 of your closest personal friends. Jeans and a nice shirt would suffice for those that don't care to dress up. I have always tried to make our meet and greet unique to the destination our event is held. I think Simon fits this. A descent dinner buffet on a Friday night in Vegas is upwards of $50 or more. At least by my standards. There are cheaper, but you get what you pay for. Paying an additional $30 for the Simon space with cocktail service is worth the extra price, I think. As Rab stated, the room price is next to nothing. The $85 for Simon plus your total room budget would barely cover 2 night hotel at past AMGs.

So, from my point of view, we have two options. Pay the outrageous price for a banquet room at the Stratosphere where we can have both the meet and greet and memorial. Or, go with Simon and request space at the Stratosphere for the memorial.

Please try to decide by Wednesday.

Simon sound good to me.  jan, you mentioned you need to be inside so I take it you need some audio/visual stuff.  Is there someway we can do it without the a/v?  Like maybe hand out small cards/pix (kinda like prayer cards) and hold them(kinda like candles).  I don't think it would be a downer either.  And I like rab's idea of celebrating their lives by jumping off a roof.  No disrespect in that.

 BTW  the hotel are pretty stuck on charging for Internet service...   think you can talk them out of that Dennis ??/      even Starbucks  and the sandwich shops dont charge anymore......most of the local places never did charge  ( Motels/ Hotels)

i have not thoroughly read this thread but will in the near future. i think i can do whatever the majority desires...including the (eek) $85 meet & greet.

seeing as how i really havent put my weight in i will sit back and enjoy whatever it is when i get there :)...like voting in elections i believe that only those who voted (not those who are affected) have earned the right to speak their minds at said outcome.

Hey everyone,

I went to reserve the the Simon space and it was taken from us.  Someone rented out the entire restaurant.  So...here are our options.

Little Buddha...space is not completely private.  You would be in the back room with private access to the patio/pool area.  Cocktail service available.  You can have the menu I posted above.  Or, they are willing to minimize the menu to reduce costs to around $45 per person.

The sedond option is a private room at the Stratosphere buffet.  The cost of the room rental and buffet would be aproximately $42.00 per person.   

Basically you need to decide between convenience and cost vs atmosphere.  Personally, I would go with Little Buddha.  The Strat has not been the easiest to work with.  However, I'm not going my vote doesn't count.

I am flexible and willing to go to either place.  While we have not made a final decision, there seemed to be consensus that combining the Memorial with the Meet and Greet would not work at Simon.  It most likely would not work at Little Buddha.  I do not know if we could accommodate Jan's needs at Stratosphere.  So...we are probably still assuming a different time and place for the memorial.  If the local LGBT space is available (and we can figure out transportation) that may be our best option.  If not, something at the hotel is probably best.  In any event, I do not know if we can get the A/V equipment Jan wants.

We always work out something and everyone finds the time meaningful.  I am guessing the same will happen in Las Vegas.  Any help with "nailing down" a location will be greatly appreciated.

In regards to the memorial, I looked up the LGBT center and their hours are Mon-Fri 11a-7pm. closed Sat and Sun. So we would most likely have to do the memorial on Friday if we wanted to use the center. Also, its about 10 blocks from the Strat, so not sure if we would have to use cabs or the bus. If we use the bus we would need to transfer once.

I can call them tomorrow if yall like.

Level 107 bar (at the top of the Strat) has 2 for 1 martinis during Happy Hour 4-7pm. Gonna have to spend an evening sucking down MArtinis and watching the sun set!

My plan is  casual pants and a short sleeve shirt for the meet and greet  , if you plan on any of the big shows  a" friday casual "or dress slacks and a decent shirt might be in order  for everything else  shorts and a shirt of some kind is pretty much the norm.....  bathing suit depends on if you go to the "clothing optional" beach or the pool....

I go 2 or 3 times a year to Vegas...even the shows have become quite casual.  It is will be blazing hot so wear what will make you comfortable.  We will be in casual attire the entire time, although most of us look our "nicest" at the meet and greet.  Looking forward to seeing old friends and making new ones...three more days and I am there!

I'll might bring one pair of semi-dress pants (assuming I can still fit into them  ::)) and a matching shirt, other than that, it'll be strictly jeans, shorts, and T-s.

P.S. I think you'll be fine with a button short sleeved shirt paired with jeans.

P.P.S.S.  There's a clothing optional beach?  Yee Gawd!  I don't even get undressed with the lights on!   :)

 Last time Bob and I ate at a fancy place  We were way over dressed !

 It was summer !

 When I had gone in the winter   I dressed in a blue suit and was Severely under dressed  :o

 I guess I will chance it this time          ::)

 Bagage may be an issue I never thought of  ???

Do I have to PAY  every time I switch planes ???

Thanks for posting about packing.  I tend to over due it.  I'm trying to keep it simple so I'll leave the kilt at home for another time.

Jeans, shorts and dress slacks. A couple of dress shirts, polo's and casual shirts for day.  Regular trunks for the pool and a skimpier one for sunning (got to get rid of my farmer's tan). No P.J.'s here, if you know what I mean.

I'm getting more and more excited.  I usually repack three times the morning I'm leaving.

Dennis - you are an amazing man!  I am not able to go this year, but I want to thank you for everything you did to make sure this get together went off without a hitch -- I feel like I am going just based on how well you organized everything and kept everyone in the loop and allowed everyone to contribute.

Hello Everyone (or at least those still around)

I received an email for Dennis last evening with the contract and details for the M & G.

The cost is $45.00 per person, plus 21% service charge, and 8.1% tax. 

Total due from all attending will be $58.10

I'll be collecting it before the event so try and have as close to correct amt as possible.  (You can forget about the .10 cents though   ;D)

Little Buddha was absolutely amazing, the food was out of this world! I want to fly back just to eat there again :) Holy crap, those damned Lettuce Wraps were orgasmic.

You noticed that huh? well I didnt want to overshadow the fantastic dinner with me raving on about the pool, er umm, more specifically the contents of. Let me just say that we had a private area just outside from the dinner tables that overlooked the most beautiful creatures ive ever seen (except for the females, which were ruining the view). It looked like a pool full of models, some of them looked like they fell off the set of the Jersey Shore, Jebus, all of them splashing around and giggling, it was a sight to behold. Oh and there were also 2 Midgets riding tandem on a scooter, which was interesting.

ahh, I shall remember that pool forever.

But like you and Hippie and well just about everyone, that pool was certainly an eye full.   :o
